Position Overview
The Retail Sales Support Administrator at Ancient Nutrition provides administrative, operational, and project coordination support to the Retail Sales Support Manager and broader retail sales organization. This role ensures the smooth day-to-day execution of retail programs, product launches, promotional activities, and account support initiatives across key retail partners and distribution channels.
The ideal candidate is highly organized, detail-oriented, proactive, and thrives in a fast-paced environment supporting multiple projects and stakeholders simultaneously. This role is essential in maintaining communication flow, project documentation, retail reporting, and execution support that enables successful retail growth initiatives.
Key Responsibilities
Retail Sales & Administrative Support
Provide direct administrative and operational support to the Retail Sales Support Manager
Maintain calendars, project trackers, promotional schedules, and retail execution timelines
Organize and distribute retail sales materials, promotional documents, presentations, and meeting recaps
Assist in preparing retailer presentations, internal reports, and sales support documentation
Coordinate meeting scheduling, agendas, follow-ups, and cross-functional communication
Supporting the Vice President of Retail Sales in travel arrangements, expense reports and other administrative support tasks.
Support execution of retail sales initiatives, including product launches, quarterly promotions, and in-store programs
Track deadlines, deliverables, and approvals to ensure projects remain on schedule
Assist with retail program setup and documentation within project management systems
Coordinate samples, promotional materials, merchandising assets, and retailer requests
Help manage retailer and broker communications related to timelines, promotions, and execution needs
Monitor item setup status, promotional calendars, and inventory readiness updates
Support data accuracy across retail systems, trackers, and reporting files
Identify discrepancies and escalate issues to the Retail Sales Support Manager when necessary
Qualifications
Associate’s or Bachelor’s degree in Business, Marketing, Communications, or related field preferred
1–3 years of experience in administrative support, sales support, retail coordination, or CPG operations
Strong organizational skills with the ability to manage multiple priorities simultaneously
Excellent written and verbal communication skills
Proficiency in Microsoft Excel, PowerPoint, Outlook, and Google Workspace
Experience with project management systems such as Asana, Monday.com, or similar tools preferred
Detail-oriented with strong follow-through and time management skills
Ability to work independently in a remote, fast-paced environment
