The Assistant Administrator plays a critical support role within [solidcore], working directly under the Executive Administrator to provide dedicated support to at least three executives. This person is a proactive, detail-oriented professional who takes pride in anticipating needs, managing complexity with calm, and creating an exceptional experience for team members and external guests. This is a hybrid on-site position based at our Arlington, VA Headquarters and is full time.

Key Responsibilites

    Executive & Calendar Support

  • Manage calendars for your assigned executives in Google Calendar, including scheduling, prioritization, and real-time adjustments

  • Coordinate purposeful travel itineraries for supported executives, including flights, accommodations, and ground transportation as needed

  • Secure materials and briefings for key meetings as directed by your assigned C-suite team members when applicable

  • Attend meetings on behalf of or alongside supported executives; accurately capture meeting notes including decisions, discussion highlights, and action items

  • Support follow-up tracking for weekly Steering Team meetings and quarterly Business Review meetings as needed

  • Event & Meeting Coordination

  • Assist in planning and executing company events including retreats, leadership offsites, parties, and large-group functions

  • Assist in coordinating logistics for recurring leadership meetings, including travel, catering, venue setup, and materials

  • Assist the Executive Administrator in managing and executing logistics for quarterly Board Meetings

  • Assist with setup for weekly Steering Team meetings and monthly Full Company meetings

  • Culture & Team Experience

  • Create a warm, professional first impression for all team members and visitors to HQ

  • Be a cultural ambassador for HQ and in representation of the executives you support to employees, clients and our community

  • Ad Hoc & Project Support

  • Take on special projects and administrative tasks as assigned by the Executive Administrator or supported executives

  • Provides support to additional executives as business needs arise

Qualifications

    Required:

  • 2+ years of experience in an Executive Assistant, Administrative Assistant, or similar support role

  • Proficiency in Google Workspace (Calendar, Drive, Docs, Sheets, Gmail)

  • Strong organizational and communication skills with the ability to manage multiple priorities and support multiple executives simultaneously

  • High degree of discretion and professionalism when handling sensitive or confidential information

  • Proactive, solutions-oriented mindset with a strong sense of ownership

  • Preferred:

  • Experience supporting C-Suite or senior leadership in a fast-paced environment

  • Familiarity with travel booking platforms and expense tools

  • Experience in the fitness, wellness, retail, or hospitality industry
